Scheduling a YASETX Program
Scheduling
Scheduling as early as possible for the entire year is recommended.
You can schedule a performance through Young Audiences by doing one of the following:
- Print out the Performance Order Form, located in the Downloads section. Once printed, fill out the required information then fax it to the Young Audiences office.
- Call the Young Audiences office at (409) 835-3884, Monday through Friday, 8:30 am to 4:30 pm.
When scheduling a performance, be sure to have the following materials at hand:
- YA Program Catalog
- Name of the school contact person
- School street and mailing address
- School telephone number
- Dates and times preferred, along with school calendar
- Number of students and teachers attending the program
Billing/Payment
A confirmation/invoice is sent upon scheduling.
Payment is due 3 days prior to the scheduled event. There is a $15.00 service fee for each additional billing sent. All payments should be sent to Young Audiences of Southeast Texas, 700 North St., Suite G, Beaumont, TX 77701.
Programming may also be paid for by Visa/Master Card. Payments made by credit card will be charged a 4% service charge.
No money is to be given to the artist(s) at the performance site.
Funding may be available to partially subsidize certain programs. Contact the YA office for details.
Rescheduling/Cancellation
Confirmed programs are considered binding.
Should an artist be prevented from performing due to illness, inclement weather, etc.., schools may reschedule, substitute, or receive a full refund.
Confirmed programs canceled with less than 48 hours notice will be subject to a $15.00 cancellation fee.
Back-to-Back Programs & Audience Overage Fee
Back-to-back programs are defined as two performances with no more than 30 minutes between presentations by the same artist.
Because audience limits are designed to ensure maximum interaction between students and artist, audiences that exceed the limit will be charged a fee of $50.00 per group of 50 students.
Before the Program
Please be certain that all teachers receive a YA evaluation form and an educational guide that reinforces the impact of the assembly program.
The contact person should make sure that all equipment needs have been met on the program day.
After the Program
Please fill out and return the evaluation forms which are used to assess the overall effectiveness of the programs and to determine future educational needs. Evaluation forms may also be filled out and submitted online.
Encourage the students to write letters to the artist in care of Young Audiences. They will be passed on.
